The Paperwork a Certifier Asks for on EPS Cladding

EPS cladding looks simple once it is finished. Behind that finish sits a set of documents the certifier may ask for. Pulling those together at the end of a job is slow and frustrating.

Collecting them as you go is easy. This is the list we suggest builders keep.

The system documentation

Start with the documents that describe the system:

  • The current technical manual for the cladding system
  • Any certificates or evidence of suitability supplied with it
  • Product data sheets for the coatings used

Check the dates. Manufacturers update manuals, and the version on file should match the system installed.

Drawings and details

The certifier will want to see how the wall was designed. Keep:

  • Elevations showing where EPS cladding is used
  • Details at windows, doors, slab edges and roof lines
  • Control joint positions
  • Any changes made on site, marked up and approved

Site changes are where records most often fall behind. A quick marked up drawing at the time saves a lot of guesswork later.

Delivery records

Delivery dockets show what actually arrived on site. Keep dockets for panels, mesh, base coat and finish products. If a question comes up about materials, dockets answer it quickly.

Stage photos

Photos are the best record of work that gets covered up. Take them at these points:

  • Frame and openings ready for panels
  • Panels fixed, before any coating
  • Mesh and base coat applied, including corners and openings
  • Finished wall

Date the photos and label them by lot and elevation. On an estate, unlabelled photos are close to useless.

Inspections and sign offs

Record who inspected what and when. If the supplier or certifier inspects at a stage, keep their notes. If a defect is found and fixed, photograph the fix as well.

Substitutions and changes

Sometimes a product is out of stock and a substitute is offered. Do not accept a substitute on a cladding system without checking. A different mesh, adhesive or coating can take the wall outside the system documents.

If a substitution is approved, record who approved it, when, and exactly what changed. Keep that approval with the job records.

Keeping it simple

None of this needs special software. A shared folder for each lot, with the same sub folders every time, works well. The key is doing it on the day, not at handover.

Decide at the start who owns the folder. On an estate, site supervisors change. A folder the office controls survives those changes.
